Academic Alert (PDF): An academic alert is issued when a student may be at risk in the classroom due to their academic performance or attendance. Once an alert is submitted, the student, faculty/professional advisor and instructor are notified to bring awareness to the student's progress in their semester. The professional advisor makes three attempts to contact the student to assist them with the resources that are available to help them succeed. Once all attempts have been made to reach the student the professional advisor follows-up with the instructor who submitted the academic alert.
Advising Syllabus (PDF): The advising syllabus was created to give students information regarding what they would have to prepare for or complete every month for the academic school year. It introduces the advising center staff, our mission statement, what students are responsible for, and what they should expect from their advisor.
Appointment Campaign (PDF): The Appointment Campaign enables advisers to request that their advisee's schedule an advising appointment through GradesFirst. The student receives an email which prompts them to schedule their advising appointment based on the advisers and their availability. This tool simplifies scheduling advising appointments for both advisers and students.
Guide to the Core (PDF): The CORE course requirements specified in the undergraduate catalog constitute a carefully planned program of study and are highly recommended by the faculty as the preferred curricular introduction to the value and learning experiences that best represents the UIW Mission. This Adviser's Guide to the Core Curriculum is intended to serve as a quick reference and it should be used in conjunction with the 2017-2018 UIW Undergraduate Bulletin.
CAPP Instructions (PDF): CAPP is a program in Bannerweb that allows students to run their own degree audit. It also allows them to do a "what if" analysis which allows them to run degree audits for any other major they are interested in. Use for students who enrolled at UIW prior to Fall 2013.
Community Service Documentation: Students should document their community service hours online through UIW Engage.
Degree Works (PDF): Degree Works is a web based tool to help students and advisers monitor student's progress toward degree completion. Degree Works combines UIW's degree requirements and the coursework you have completed in an easy-to-read worksheet that helps you see how courses that you have completed count toward degree requirements, as well as what courses and requirements you still need to complete. Use for students who enrolled at UIW Fall 2013 or later. ( Degree Works FAQ)
International Students: Quick facts for UIW Faculty and staff who work with international students.
NACADA Clearinghouse: Features the National Academic Advising Association member written articles addressing more than 250 topics applicable to academic advising. The Clearinghouse also includes over 100 'resource links' pages organized by topic. These pages are made up of member suggested web links that connect readers to more than 30,000 relevant resources.
Online Course Enrollment Request Form (PDF): International Student must complete the Online Course Enrollment Request Form in order to register for a main campus online course. Enrollment must be verified by the students academic advisor and then approved by the International Student & Scholar Services before the student is authorized to enroll in the course.
Request to Study at Another Institution: This form is submitted, reviewed, and processed by registrar's office to guarantee that the course the student takes elsewhere will transfer over as listed on this form. The registrar's office normally confirms it by email.
Report an Incident, Complaint, or General Concern:The University of the Incarnate Word provides all students, faculty, staff, administrators, and San Antonio community members the ability to bring their concerns and observations to the attention of university officials. Student Schedule Planner (PDF): This template is available to help advisee's visualize their schedule for the semester as you help them plan it.
Substitution Form (PDF): When students transfer certain courses into UIW and finds that, the particular course is not fulfilling a degree requirement as they would like, they would fill out a substitution form. Signatures are required and they may be required to provide the course description for the transferred course.
Transfer Articulation Guides: These are used by students that plan on taking classes at an Alamo college and want to know what the equivalent course is. However, if the student is currently enrolled in courses at UIW and wants to take a course at an Alamo college they must fill out a "study at another institution form" first and get it approved by the registrar's office.
Waitlist: Undergraduate classes offered during the fall, spring and summer (main campus) will have the waitlist option during registration periods. Waitlisting does not register students for a class but places students in a queue in case a spot in the class becomes available. When a seat becomes available, the first student in the queue receives an email to his/her UIW email account informing him/her of the opening.
Withdrawal Form Procedures: A withdrawal is defined as canceling your entire enrollment within a particular semester. Withdrawing has an effect on your financial aid, for both the current and future semesters, and on your academic progress. If your advisee decides to drop all of the classes they are enrolled in for the semester they would have visit Dean McMakin's office in the Chapel Building, Room 16 to complete a withdrawal form.
