Student Reservation Process

Submit event approval form via UIW Engage to the Campus Engagement Office. Remember your event approval forms must first be approved through Campus Engagement and your faculty advisor. Receiving your approval notifications may take additional time. Please plan this time into your event schedule.

Upon approval in UIW Engage, an approval notification will be emailed to submitter.

Request your preferred room, date and time through the Outlook Calendaring System.
- Attach 2 documents to your Outlook Calendaring Request:
- Scanned copy of your UIW Engage approval
- SEC Room Reservation Form

The SEC Events Staff makes every effort to respond to your request within 36 hours. (We do not approve requests over the weekend.) If you have not heard from the staff regarding your reservation, contact our office at (210) 841-7215 or studentcenter@uiwtx.edu.

Please clean your space after each event in order to avoid a housekeeping chargeback.

Guidelines
Meeting Rooms and Ballroom
- Please advise the SEC Events staff how you would like the room to be set when you make your reservation.
- Food and Drinks may be consumed in both the meeting rooms and the ballrooms. The group/person who reserves the space is responsible for the room being left clean and all trash in a trash can. If this is not done, the group/person will receive a housekeeping chargeback.
- If you need a wall partition opened, please call the SEC Events Staff. We’ll take care of that for you.
- Please refrain from taping or attaching anything to the walls or doors. It’s okay to tape papers to the white boards.
- If you have borrowed some of the SEC media equipment: laptop, microphone, etc. please call us (210) 841-7215 when you are ready to leave the room, so we can come secure the equipment.
- If your reserved space is occupied when you arrive, please call us so we can speak with the group in your reserved space.
- If something is damaged during your event, please report it to SEC Events Staff.
Private Dining
- To reserve the Private Dining Room, please fill out the Meeting Room Reservation Form and select Private Dining.
- Private Dining seats 18 people max.
- The group/person who reserves the Private Dining Room is responsible for the room being left clean, with all dishes removed and all trash in a trash can. If this is not done, the group/person will receive a housekeeping chargeback.
- Private Dining does not have any media capabilities. There is no television screen or HDMI connection.
- If your reserved space is occupied when you arrive, please call us so we can speak with the group in your reserved space.
- If something is damaged during your event, please report it to SEC Events Staff.
Concourse
- To reserve a table on the Concourse, please fill out the Meeting Room Reservation Form and select Concourse.
- You may reserve a max of 3 tables and 6 chairs for your group on the 1st Level Concourse.
- If you are doing arts and crafts on the tables, please advise the SEC Events Staff when you make your reservation.
- Food and Drinks may be consumed along the Concourse. The group/person who reserves the space is responsible for the table being left clean and all trash in a trash can. If this is not done, the group/person will receive a housekeeping chargeback.
- If you have borrowed some of the SEC media equipment: laptop, microphone, etc. please call us (210) 841-7215 when you are ready to leave your area, so we can secure the equipment.
- If your reserved space is occupied when you arrive, please call us so we can speak with the group in your reserved space.
